Teacher Status Management

Control teacher activation, deactivation, and status changes

Control which teachers appear in schedules and customer-facing areas by managing their active or inactive status. This is how you handle breaks, seasonal teachers, and transitions without losing their data.

Active vs Inactive Teachers#

Active teachers can be selected for new classes and appear in customer-facing teacher views. Inactive teachers are removed from active scheduling and customer-facing views, while their teaching profile and existing records remain available in the admin area.

Finding teaching profiles by status#

Open Admin > Settings > Staff and choose Teacher in the role filter to list the people who teach. There are no separate Active and Inactive tabs. Open a person and choose the Teaching tab: the Active or Inactive badge at the top shows their status.

Deactivating Teachers#

Use this for teachers taking breaks, seasonal instructors during off-periods, or when someone leaves but you want to keep their records.

To deactivate a teacher:

  1. Open Admin > Settings > Staff and open the person
  2. Choose the Teaching tab
  3. Open More teaching actions (the menu button next to Edit teaching profile)
  4. Select Deactivate. Selecting it changes the status immediately.

When you deactivate a teacher, they disappear from customer-facing views and are not available when you assign a teacher to new classes. Review upcoming classes and assignments after changing the status.

Reactivating Teachers#

To reactivate a teacher:

  1. Open Admin > Settings > Staff and open the person
  2. Choose the Teaching tab
  3. Open More teaching actions
  4. Select Activate. Selecting it changes the status immediately.

They become available for new scheduling and customer-facing views again. Their existing records remain in the admin area.

What Changes When You Deactivate#

When you deactivate a teacher, here's what happens in different areas:

  • Scheduling: Not available when assigning a teacher to new classes
  • Customer visibility: Hidden from customer-facing teacher views
  • Staff page: The Teaching tab shows the Inactive badge, and the person can still be opened from Admin > Settings > Staff
  • Existing records: The teaching profile and its records remain available in admin

Before You Deactivate#

Take these steps to avoid issues:

  • Check their scheduled classes and upcoming assignments
  • Inform your team about the status change
  • Update any marketing materials that mention them
  • Communicate with customers about schedule changes if necessary

Common Scenarios#

Seasonal teachers: Deactivate during off-seasons, reactivate a few weeks before classes resume.

Maternity leave: Deactivate on the leave start date, set a reminder to reactivate when they return.

Role transitions: If a teacher moves to management but stops teaching, deactivate their teacher profile.

Common Issues#

Status change not saving: Check your permissions and internet connection. Refresh and try again.

Inactive teacher still showing to customers: Double-check that the teaching profile is marked Inactive, then refresh the customer-facing page.

Can't find a deactivated teacher: Look under Admin > Settings > Staff. Clear the search, check the role filter, and refresh the page. If the person has no login, look under Pending staff access > Placeholder profiles.
