Calendar helps you review classes and appointments across your business.
Use Calendar to review dates, times, locations, instructors, and booking status. Choose Day or Week and use Filters to narrow the view by location or provider. On a Day view, use Split by: Staff or Split by: Room to compare schedules.
Open calendars#
Go to:
- Admin > Calendar
Use Today to return to the current date. On a Day view, choose Split by: Staff or Split by: Room before opening Display for availability. Blackouts remains available without that split.
View appointment availability#
Choose View availability to switch to Day and Split by: Staff with availability shown. Your selected date, business, and location and provider filters stay in place. The shortcut appears for staff who hold the Book Appointments permission when that view is not already open.
Availability blocks show provider hours. Appointment bookings are separate blocks. If no availability appears, check the selected day, filters and appointment availability.
What to review#
Use Calendar to check:
- Upcoming classes
- Appointments
- Instructor and room schedules
- Location and capacity details
- Waitlist or full status
- Future changes that need review
Move a booking#
Drag a class or an appointment to a new time to move it. Naayya shows where it will land, then saves the move and confirms it, for example Appointment rescheduled with the new time. If the move cannot be saved, you see Move failed with the reason and the booking stays where it was.
- Recurring classes: Naayya asks Move recurring class? Choose This session only or This and all future sessions. See Make schedule changes carefully.
- Appointments: Moving an appointment reschedules it, and the customer gets an email with the new time. Staff who can book appointments from admin can move them.
Move a court booking to another court#
On the Day view with Split by: Room, drag a court booking into another court's column to move it to that court, at the same time or a new one. This works for bookings of a service that needs no provider and lets the customer pick the court.
The move goes through the same availability check as a new booking. If the court is taken at that time, the move is refused and nothing changes. When it succeeds, the confirmation names the new court and time, and the customer's email names the new court and the old one.
Provider bookings and classes move in time only. On the same day, dragging one into another column keeps it in its own column.
To book a court instead, click an empty spot in its column on the same view. See View and Manage Appointments.
Make schedule changes carefully#
For recurring classes, decide whether a change should affect one instance or future instances.
Use future-instance editing when the same change should apply to upcoming sessions.
See Editing Future Class Instances.
