How availability works#
Naayya shows customers only times when everything the service needs is available. A provider-based service uses provider schedules. A resource-based service uses resource availability. A service that needs both checks both at the same time.
Availability can be set for:
- Providers: Staff members who deliver services
- Resources: Rooms, equipment, or spaces needed for services
Set provider availability#
Provider schedules are managed in the staff schedule workspace:
- Open Staff > Schedule (
/staff/schedule). - On Weekly schedule, add the days and time ranges when the provider accepts appointments.
- Use Time off for dates or hours when the provider cannot take appointments.
You can add more than one range on a day for split schedules. The workspace shows Weekly schedule and Time off as separate tabs. A staff member's page in Admin > Settings > Staff has the same tabs under Availability.
Set resource availability#
Resource schedules are set from the resource editor:
- Go to Admin > Settings > Locations.
- Expand the location that contains the resource.
- Click Edit resource.
- Open the Availability tab.
- Add the days and time ranges when the resource can be booked, then save the changes.
A resource follows its location's opening hours until you give it its own. A new resource starts that way, so you do not need to copy the location's hours onto it, and creating one never fails because the location is closed every day or has no hours. When you change the location's hours, the bookable times of every resource that follows them change too. A resource whose hours you edited keeps them.
Inheritance works day by day: days without an explicit resource schedule take the location's hours for that day. The resource list labels the schedule as Custom hours, Location hours, Business default, or No hours. No hours blocks bookings that need that resource.
Block out time off and closures#
Time off and closures block bookings during holidays, absences, maintenance, or another period when bookings should not be accepted. People take time off; resources, locations and the business close.
Add time off for a provider#
- Open Staff > Schedule (
/staff/schedule). - Open Time off.
- Add the dates, optional reason, and whether it lasts all day.
- Save the time off.
Add a closure for a resource#
- Go to Admin > Settings > Locations.
- Expand the location and click Edit resource.
- Open Closures.
- Add the maintenance window or other closure, then save it.
The resource editor describes these as closures that affect only that resource.
Add a business-wide closure#
For a closure that affects the whole business:
- Go to Admin > Settings > Booking > Availability.
- Add the closure dates and details.
- Save the closure.
Edit or remove availability#
Open the same Weekly schedule, Availability, Time off, or Closures tab to edit or remove an entry. After changing a schedule, time off, or closure, review the affected bookings separately if customers already have them during that time.
Booking settings#
Timing for services is separate from class booking timing:
- Go to Admin > Settings > Booking > Availability.
- Under Appointment time slots, review Slot interval (the time between available starts) and Hold duration (how long a slot is held during checkout).
- Under Appointment booking window, set Minimum notice and Booking horizon for appointments.
- Click Save appointment changes.
These controls do not set a class booking cutoff. To configure classes, use Class booking window on the same page. See Booking & Checkout Settings for the class default and how to change it.
