Manage sales points

Set up the bars, cafés, shops, and front desks that sell at each location, choose what each one sells, and manage the POS devices assigned to them

A sales point is a place at one of your locations where staff sell, such as the clubhouse bar, a café, a shop, or the front desk. Owners and managers set up sales points in Admin > Settings > Sales Points and choose which POS device sells from each one.

Availability#

Sales points appear once Sales points is on in Admin > Settings > Offerings, under Selling. It is off for a new business, and an owner or manager turns it on; turning it on also ticks Products › In person, because sales points sell your products in person. See Turn selling on. While it is on, Sales points appears in the Finance section of Admin > Settings, even before you add one. While it is off, selling at Point of Sale works as before.

Sales points cannot be turned off while a sales point is not archived, or while your business has an open tab or an open shift. Archive your sales points first.

Who can use this page#

  • Owners and managers can add, rename, reorder, and archive sales points, choose what each one sells, choose whether each one requires a shift, and move or disconnect POS devices.
  • Staff with POS access can open the page and see the sales points and the devices, but cannot change them. In the Products column they see whether a sales point sells Everything or Chosen products; they cannot open the list.

Before you start#

A sales point belongs to one location, so add the location first in Admin > Settings > Locations. See Manage Locations and Resources. A location can have several sales points, for example a bar and a café in the same clubhouse, each with its own iPad.

A sales point is not a resource. Customers do not book it, and it has no availability. For a court, room, or equipment that customers reserve, add a resource to the location instead.

Add a sales point#

  1. Go to Admin > Settings > Sales Points.
  2. Select Add sales point.
  3. If your business has more than one location, choose the Location.
  4. Enter a Name of up to 60 characters, such as "Clubhouse bar".
  5. Select Add sales point.

A location can use each name once. If the name is already taken there, the dialog says so and nothing is added.

When your business has more than one location, the list groups sales points by location.

Rename or reorder a sales point#

  • To rename a sales point, select its name in the list, edit it, then press Enter or select the check mark. Press Esc to cancel.
  • To change the order at a location, open the sales point's actions menu and select Move up or Move down.

Choose what each sales point sells#

Each sales point can sell its own products: drinks and snacks at the bar, rackets and clothes at the shop counter. This works with a single sales point too, because Point of Sale also sells at No sales point: a bar can sell drinks only while the front desk sells everything. The list shows a Products column that reads Everything or Chosen products for each sales point.

This applies to web POS. The Naayya POS app does not follow a sales point's products yet: an iPad assigned to the sales point still lists and sells every product.

Every sales point sells Everything until you choose otherwise.

  1. Open the sales point's actions menu and select Choose products.
  2. Select Only what you choose.
  3. Under Add to the list, select Add next to a category or a product. Use the search to find a product.
  4. To change the order, use the up and down arrows on a row. The POS at this sales point lists its products in this order, grouped by category.
  5. To take something off the list, select the remove button (the cross) on its row.
  6. Select Save. Nothing changes until you save. If two people edit the same sales point's list, the last save replaces the whole list.

A category on the list covers every product in it, and in the categories inside it. A product you add to that category later is sold at the sales point too, with no extra step. See Product categories.

If you select Only what you choose and leave the list empty, the sales point sells nothing, and web POS shows no Retail tile while that sales point is chosen.

To go back, select Everything and save. Your list is kept for the next time you choose.

At Point of Sale, staff who choose this sales point under Selling at see only its products. A sale there is refused for a product the sales point does not sell. Prices are the same at every sales point.

If you delete a category, it comes off every sales point's list. Its products lose their category, so a sales point that sold them through that category stops selling them until you add them again.

Mark a product unavailable at a sales point#

When a sales point runs out of something, mark it unavailable there. It stays on that sales point's list on web POS, shown as Unavailable, and cannot be sold there. Other sales points are not affected.

This applies to web POS. The Naayya POS app does not follow it yet: an iPad assigned to the sales point still sells a product marked unavailable.

  1. Open the sales point's actions menu and select Mark products unavailable.
  2. Switch the product off. The change saves as soon as you switch it.
  3. Select Done.

Switch the product back on when it can be sold again. The Products column shows how many of the products a sales point lists are unavailable there.

The mark belongs to the product at that sales point. If you later archive the product or take it off the sales point's list, it is no longer counted; if the product comes back, it is still unavailable there until you switch it on.

Require a shift before selling#

Each sales point has a Require a shift before selling switch in the list. It is on for a new sales point.

  • On: the sales point takes no payment until a shift is open there. Every sale is then on a shift report, and the cash can be counted against it. See Shifts and the cash count.
  • Off: the sales point sells with no shift open. A sale made while a shift is open still counts in that shift. A sale made with no shift open is on no shift report.

The change saves as soon as you select the switch. Staff who cannot change sales points see Yes or No instead of the switch.

Turn it off for a sales point where nobody counts a drawer, such as a desk that only takes card payments on your own reader.

Archive a sales point#

Archive a sales point that stops selling, for example a bar that closes for the season.

  1. Open the sales point's actions menu and select Archive.
  2. Confirm Archive.

The sales point leaves the list and stops selling. Its past sales keep their link to it. An archived sales point cannot be restored from this page.

Archiving is refused while a POS device is still assigned to the sales point. Move those devices to another sales point or disconnect them first, then archive it.

Archiving is also refused while the sales point has an open tab or an open shift. The message says how many and links to them: close or cancel the tabs on the Tabs page, and close the shift on Admin > POS with that sales point in Selling at. Then archive it.

POS devices#

The POS devices list shows each device registered for your business, the sales point it is assigned to, and when it was Last seen. Disconnected devices are not listed. You cannot add a device on this page: devices are registered from the Naayya POS app. If the list says No POS devices yet, no device has been registered for your business.

Move a device to another sales point#

In the device's Sales point column, choose another sales point, or choose Not assigned. The change saves as soon as you choose.

Disconnect a device#

Disconnect a device that must stop selling now, for example a lost iPad.

  1. Open the device's actions menu and select Disconnect.
  2. Confirm Disconnect.

The device stops selling and syncing for your business. This cannot be undone for that device: to use it again, set it up again in the Naayya POS app.
